What Onboarding with Knoxville Paralegal Services Actually Looks Like
When it comes to legal support, you don’t just want help, you want the right kind of help. Someone who understands your practice area, meets deadlines without handholding, and sends you work that’s accurate the first time.
At Knoxville Paralegal Services (KPS), we’re all about building that kind of seamless partnership, and it starts the moment you hire us.
Whether you’re a solo attorney, running a small firm, or juggling multiple practice areas, here’s what onboarding with KPS actually looks like:
✅ Step 1: Sign and return our Retainer Agreement
This document clearly outlines our Employer/Contractor relationship
✅ Step 2: Receive our KPS Welcome Packet
Automatically emailed to new clients, this packet includes office hours, how to contact us, what we need from you, and what to expect next
✅ Step 3: Meet your dedicated paralegal team
You’ll get an introduction to our experienced freelancers who will support you
✅ Step 4: Choose your preferred file-sharing method
Dropbox setup (if needed)
Integration with case management software like Clio or MyCase
✅ Step 5: Start delegating
Need us for one-off assignments? Just email over your assignment, due date, and case info and we’ll handle the rest!
Need end-to-end case management? We’ll integrate with your case management software and keep tasks moving through notifications and reminders.
✅ Step 6: Receive work back (with a fast turnaround time!)
Typical turnaround for simple assignments: 48–72 hours
We aim for accuracy on the first go, but revisions are included when needed
✅ Step 7: Monthly invoicing + usage updates
Transparent and easy-to-track
Monthly clients also receive an automated email on the 15th of each month summarizing hours used and remaining!
And that’s it. No micromanaging. No drama. Just a clear process that keeps your practice moving forward.
How to Set Your Paralegal Up for Success
When clients ask us how to make the process smoother, here’s our honest answer:
BE👏 AS👏 CLEAR👏 AS👏 POSSIBLE.
We’re not mind readers (though we try our best). If you can:
Be specific with due dates and deadlines
Clearly outline your expectations
Give us full context on the task or case
Let us know your preferred communication style
…then we can operate like a true extension of your team!
(Think of us like a well-oiled part of your workflow, not a one-off task rabbit 🐇)
What Attorneys Say About Working With KPS
While every firm is different, we often hear feedback that similar to these testimonials:
Why the Right Onboarding Process Sets the Tone
Onboarding isn’t just a technical step—, it’s the foundation for a truly effective working relationship!
& why does that matter? ⬇️
It builds trust from day one: Clear expectations and workflows mean fewer surprises and better outcomes
It sets a rhythm: When you know exactly what to expect from us (and when), you can plan more confidently
It reduces your mental load: No more wondering if tasks are being handled or if deadlines will be met
We aren’t going to just lighten your load temporarily. We will:
Help you run a smarter, more efficient practice
Give you breathing room to actually think (and sleep, lol!)
Offer systems that stick even when we’re not actively working on a case
Because true support isn’t about checking boxes… it’s about helping you thrive, long-term.
